About the Role
This role is responsible for ensuring efficient internal operations, robust administrative and procurement systems, and well-executed strategic events that support Zeraki’s brand, partnerships, and community engagement.
The role consolidates operational execution and event coordination under one accountable owner, ensuring that events are planned with financial discipline, operational rigor, and brand alignment, while day-to-day administration, procurement, and asset management remain strong and controlled.
Requirements
Key Responsibility Areas
1. Administration & Office Operations
Develop, implement, and maintain administrative policies, systems, and controls.
Oversee office infrastructure, facilities, technology, and asset management.
Implement and monitor security, asset tracking, and resource utilization systems.
Supervise administrative staff and ensure smooth day-to-day office operations.
Ensure administrative practices align with company policies and governance standards.
2. Operations Management
Oversee day-to-day operational activities across the organization.
Identify inefficiencies and implement process improvements to reduce cost and friction.
Develop and enforce operational procedures, workflows, and service standards.
Lead operational reporting to support management decision-making.
Drive continuous improvement across internal operations.
3. Procurement & Vendor Management
Lead procurement planning and supplier sourcing.
Negotiate supplier contracts to achieve cost savings and service quality improvements.
Ensure all procurement activities comply with internal approval processes and policies.
Track procurement KPIs, cost savings, and supplier performance.
Maintain a compliant and auditable procurement process.
4. Events Planning & Execution (Strategic & Operational)
Develop and maintain an annual events calendar in collaboration with the Marketing Lead.
Coordinate 1–2 strategic events per quarter, including:
o Education competitions (Science Congress, Math Contests)
o School leadership forums (KEPSHA/KESSHA, bursars, directors)
o Parent webinars and Zeraki activations
Manage end-to-end event logistics: venues, vendors, equipment, staffing, and on-site coordination.
Support grassroots activations that drive brand visibility and engagement.
Ensure events are delivered professionally, on budget, and aligned with Zeraki’s brand positioning.
5. Cross-Functional Coordination & Brand Alignment
Work closely with Marketing, Sales, Customer Success, and Product teams to ensure events and activations are aligned with business objectives.
Coordinate external stakeholders including schools, associations, partners, and vendors.
Support the preparation of event materials and collateral.
Oversee collection of event content (photos, videos, testimonials) for marketing use.
6. Measurement, Reporting & Accountability
Track operational KPIs, procurement savings, and administrative efficiency metrics.
Monitor event performance: attendance, cost per event, leads generated, and engagement.
Prepare post-event and operational reports with insights and improvement actions.
Support management in evaluating ROI across operations and events.

Experience in operations, administration, procurement, or event coordination.

Ability to manage multiple priorities across operational and event timelines.
Strong vendor management and negotiation skills.

Comfortable working cross-functionally in a fast-paced environment.
Willingness to travel for regional events and activations.
